Setting up your event

Days and sessions

An event day is a day with an opening and closing time. Does a day close after midnight? Just enter the closing time. ShowIQ understands that it falls on the next calendar day.

You can put several sessions on one date, for example an afternoon and an evening programme. Each session then has its own accreditations, guest lists and check-ins, so someone with an afternoon ticket does not automatically get in during the evening.

You can also work with build-up and break-down days: days without a session, used for crew and suppliers.

General information

Under Settings → General you set the things that come back everywhere:

  • Event details: name, location, organisation.
  • Venue address and map: the address appears in briefings with a map. Route instructions ("entrance via the back, gate 3") are shown right underneath.
  • Route image (optional): upload your own site plan or route map per briefing type, and under the Parking tab per parking type and per day. The briefing then shows it in place of the Google map; the address and route instructions stay. Recommended 1200 × 900 px (landscape, 4:3), JPG, PNG or WebP, max 1 MB. Someone holding a parking ticket of a type with its own route sees that parking type's route and image instead of their accreditation type's.
  • Emergency contact and extra contacts: a contact can be tied to specific days or stages, so an artist only sees the person who is there for them.
  • Description: the text at the top of the artist briefing.
  • Time zone: everything (deadlines, times, check-ins) is shown in the event's time zone.

Branding

Settings → General gives your event its own look:

  • Banner and logo: shown on every page the outside world sees.
  • Colour scheme: pick a palette; briefings, forms and tickets follow it.

Does your organisation have its own web address at ShowIQ? Then all public links automatically run on that address, so people never see a "foreign" domain.

Your team

Settings → Team. Add a colleague and they get the same access to this event as you: everything except managing the team and deleting the event. They need a ShowIQ account of their own, so ask your administrator.
