A briefing is the personal page someone gets: everything that applies to them, and nothing else. There is one for artists, crew, guests, media, relations, vendors and partners.
What a briefing contains
Depending on the audience: your welcome text, the venue with a map and route, contacts, their access days, their set times, their shifts and instructions, their guest list, their hand-outs, questions from you, and their tickets.
Writing the briefing
Go to Briefing. Per audience you write a title, a description and contacts. Empty for a type? Then it falls back to the event's general text, so you only write what really differs.
You can also change the order of the sections per type: put the guest list on top for artists, and instructions on top for crew.
Custom blocks
Add your own content cards: a title, text, an image or a YouTube video, and coloured notices. Per block you pick who sees it: certain accreditation types, or media, relations, vendors, partners. Perfect for house rules, a map, a sponsor message or a how-to video.
Questions
Settings → Accreditation → Briefing questions. Create a package of questions and aim it at accreditation types, specific days, certain stages or individual artists. People answer inside their own briefing.
Two extras:
- Rewards: an answer can grant extra accreditations. "Are you travelling with a crew?" → yes gives 2 extra crew passes automatically.
- Responses: show a message after answering, e.g. practical follow-up info.
Answers are final once sent. Do you want someone to answer again? Reset the whole package or a single question, and exactly that part opens up again for them.
Sending briefings
From the Guest list: Send briefings. Everyone gets a mail with their personal link. Points to know:
- One person gets one mail, even if they are on the list for several days or via several artists.
- You can close the tab; sending continues in the background in waves.
- The envelope turns green as the mail goes out, and you see when someone opened their briefing.
- Sending again? Only people who have not had one yet are picked up, unless you deliberately resend.
What artists have to do first
You can require artists to complete their advancing and show-day contacts before their ticket link unlocks. Optionally the same for their guest list: it then stays closed until their contacts and required questions are done. The guest list shows you exactly who is still missing something.
